Version Queuing

A new version queuing process provides a seamless user experience, especially for large versions, preventing timeout errors through background processing. Real-time updates on queuing status, including “In Progress,” “Complete,” and “Failed”, allow to monitor the whole process. This feature is automatically available to all users.

Bottom-Up Workforce Planning: Future-Dated Position Changes

The Bottom-Up Workforce Planning feature facilitates position-level planning for future-dated changes in filled or unfilled positions. Prior position states are retained to maintain calculation accuracy. Additionally, compensation guidelines are displayed for new positions, aiding in entering appropriate compensation basis amounts in line with organizational rules.
Workforce planning configuration manager must be configured to utilize this feature.

Efficiency

Replace Mode for Standard Data Import in Planning Data Loaders

In the release a new replace mode is introduced for standard data import in planning data loaders. This enhancement optimizes import performance by selectively replacing existing data in the chosen levels, general ledger accounts, custom accounts, or assumption accounts. Please note that setup configuration is required to utilize this feature effectively.

Access Rules Retain Grant All Except Rules
This update enhances the management of access rules by improving the behavior and display of the Grant All Except capability. Access rules are precisely as imported, with the values for Grant All Except displayed in new columns for each secured dimension, ensuring convenience during rule maintenance.
Furthermore, the efficiency is improved by retaining the Grant All Except values when exporting rules for maintenance purposes. This dynamic retention of Grant All Except values enables seamless user access updates when additional values are added to secured dimensions.
This feature is automatically available to all users.
Execute New Planned Positions

The feature allows to directly create positions from approved headcount plans, streamlining the implementation process. By utilizing “Change Organization Assignment” as a sub-business process of “Create Position,” planned organization information is automatically provided, reducing manual efforts.
Moreover, the position level connection established between the plan and actuals facilitates headcount reconciliation, enhancing accuracy in workforce planning. To avail this functionality, it is essential to configure the “workforce planning configuration manager” feature and have previously utilized the “Bottom-Up Workforce Planning” feature to create prior plans.

Actuals Imports from Workday Financials

In this release, you can import larger volumes of Journal Lines data from Workday Financials into Workday Adaptive Planning in a more smooth and performant way. It reduces implementation time and enables an easier setup.

Reporting and Dashboards

Multi-Select Settings for Reports and Dashboards

The update allows to select multiple parameter options in Reports and Dashboards. By selecting multiple options simultaneously, the resulting reports and dashboards display data for all the chosen parameter options. This feature streamlines data analysis and enhances efficiency in exploring different data sets. This enhancement is automatically available.

Forecasting

Headcount Forecast Planning

The release introduces the capability to create a forecast plan by leveraging your latest actuals and selected events from your previous plan. This streamlined process enables you to course correct more effectively, utilizing pertinent data while adjusting your current plan or initiating a new planning cycle.
Upon creating your forecast plan, you can easily initiate a new headcount planning process. Configuration of the “workforce planning configuration manager” is required.

How to Schedule a Report in Workday

One of the key features that enhances the efficiency of Workday is the ability to schedule and automate reports. This article offers a comprehensive guide on how to streamline and optimize the process. By harnessing the power of automated reporting, businesses can not only save time and resources but also make well-informed decisions driven by timely, accurate, and actionable insights.

1. In Workday search box, type ‘Schedule a Report’ task
2. Enter the report name in the Report field and select the appropriate Frequency depending on the requirement. Then, click OK
3. On the Report Criteria tab, populate all the values based on the report requirements

In the Value Type column, you may choose ‘Specify Value’ or ‘Determine Value at Runtime’.

Specify Value – specific and constant; same value every time the report runs
Example: 01/01/2012

Determine Value at Runtime – dynamic value; the system determines the value each time the report runs.
Example: First Day of this month.

4. On the Schedule tab, set the schedule details

For Daily Recurrence Criteria, you may choose ‘Reoccurs every x Days(s)’. If choose the value of 1, the report would run everyday (7 days a week)

For Monthly Recurrence Criteria, you may select specific ‘month’ and ‘day/s’.

Range of Recurrence – you set the dates when the scheduled report will start and stop to run.

5. On the Output tab, select the Output type and specify how long the report will retain in your My Reports

• A schedule report will output as a “.csv” format regardless of the configuration if there are between 500,000 and 1,000,000 rows in the output.

• Select the check box so that when a report has no results, Workday doesn’t create output files or send email notifications.

6. On the Share tab, you may share the report output with other users and/or groups. It is not shared to anyone by default
7. The report output will be sent to your My Reports.

• Select the check box so that when a report has no results, Workday doesn’t create output files or send email notifications.

Things need to know in Scheduling of Report:

• Generated data is based on the access of the one who scheduled the report.
When the report output is shared with other users and/or groups, they will see the same output as the report schedule owner.

• You can not recall a scheduled report but the report schedule owner can delete the primary report and this will delete the scheduled report for everyone with whom the report has been shared with.

From the copy of the scheduled report, available in their My Reports folder, the schedule owner can delete the report from its related actions.

Do note this step will not delete the report if a recipient has already downloaded the scheduled report.
