1. In Workday search box, type ‘Schedule a Report’ task
2. Enter the report name in the Report field and select the appropriate Frequency depending on the requirement. Then, click OK
3. On the Report Criteria tab, populate all the values based on the report requirements
In the Value Type column, you may choose ‘Specify Value’ or ‘Determine Value at Runtime’.
Specify Value – specific and constant; same value every time the report runs
Example: 01/01/2012
Determine Value at Runtime – dynamic value; the system determines the value each time the report runs.
Example: First Day of this month.
4. On the Schedule tab, set the schedule details
For Daily Recurrence Criteria, you may choose ‘Reoccurs every x Days(s)’. If choose the value of 1, the report would run everyday (7 days a week)
For Monthly Recurrence Criteria, you may select specific ‘month’ and ‘day/s’.
Range of Recurrence – you set the dates when the scheduled report will start and stop to run.
5. On the Output tab, select the Output type and specify how long the report will retain in your My Reports
• A schedule report will output as a “.csv” format regardless of the configuration if there are between 500,000 and 1,000,000 rows in the output.
• Select the check box so that when a report has no results, Workday doesn’t create output files or send email notifications.
6. On the Share tab, you may share the report output with other users and/or groups. It is not shared to anyone by default
7. The report output will be sent to your My Reports.

Things need to know in Scheduling of Report:
• Generated data is based on the access of the one who scheduled the report.
When the report output is shared with other users and/or groups, they will see the same output as the report schedule owner.
• You can not recall a scheduled report but the report schedule owner can delete the primary report and this will delete the scheduled report for everyone with whom the report has been shared with.
From the copy of the scheduled report, available in their My Reports folder, the schedule owner can delete the report from its related actions.
Do note this step will not delete the report if a recipient has already downloaded the scheduled report.
